How to Use Employee Leave vacation tracker in Google Sheets

  1. Configure the Settings information
  2. Input Employee Data, Leave Information
  3. View reports on Team Dashboard and Employee Report

Before you begin to enter data, ensure to make a copy of the template in your Google Drive folder. Follow this article to achieve the same.

Step 1: Configure the Settings information

Enter up to 5 types of leave to suit your company

The template by default supports 5 types of categorizing your leave. Since different companies may have different names and different number of leave types, the template supports customizing them.

How to handle half-day leaves

You can see that there is an option to assign ‘Day Value’ to each leave type. This setting is present to handle partial days of leave. For example, I have entered 0.5 for ‘Half Day’ leave type. That means that when an employee takes Half Day leave, template will add 0.5 to leave taken total and reduces the Worked days by 0.5.

If your company allows 2 hours leave in an 8 hour workday setup, that would be 0.25 day. You can create a leave type and enter 0.25 as ‘Day Value’.

In order to calculate attendance of employees automatically, we need to know company weekends so that we can remove them from working days. Select the same as weekends in the Settings as shown:

Step 2: Enter Input Details

Enter company holidays

Enter list of holidays in your company.

The template will treat the holidays similar to Weekends for calculation purposes, but holidays will be displayed in a different color on the calendar. This allows us to view holidays and weekends distinctly.

Enter Employees data

Now, we move to the Employees sheet.

Enter Employee Name, Start Date and Termination Date (optional)
Enter Employee Name, Start Date and Termination Date (optional)

We will enter the Employee Name, Start Date (date when the employee began employment) and then Termination Date (if applicable). The Start Date and Termination Date allow the template to calculate the count of working days for each employee correctly.

Since the google sheets vacation tracker template can help you manage leave for multiple employees for long term windows (even many years, as there is no limit), it is quite possible that new employees join the company and current employees may leave. I want the template to work smoothly for you even when that happens.

Enter Employee Leave Data

Now, for the last data entry section, we move to the Leave sheet.

We enter leave taken by each employee here. There are four fields (Employee Name,  Leave Start Date, Leave End Date and Leave Type) in this table.

If an employee takes a 5 day vacation, you can enter that in one row by providing Leave Start and Leave End dates.

If an employee takes a single day leave, please enter same date in Start Date and End Date fields.

Please note that for error free data entry, the Leave sheet has data validations on the Employee Name and Leave Type columns. We are done with data entry. It’s time to see the template’ magic in creating the vacation calendar and report.

Step 3: View Reports

View Team’s Monthly Leave Dashboard

The dashboard is interactive as it allows the user to choose the month for which we want to view the leave data for. We will enter the month by selecting Year and Month.

There are two pages in this Dashboard sheet. First is the leave calendar view.

As you can see from the above screenshot, the leave types are shown in different color.

Holidays and Weekends are self-explanatory. Not Employed will represent the days before the employee began employment and days after the employee termination date (if applicable).

Not Applicable represents the days that are not actual dates. For example, if you choose November month, 31st day will be Not applicable. For February in a non-leap year, 29, 30, 31 will be Not Applicable days.

You can use this calendar view to assess if you will have enough coverage in your team for specific weeks (for example, during the holiday season). 

Monthly Summary

This sheet also shows the monthly summarized count of days taken off under each leave type, total leave taken and Worked Days.

Total Leave is the sum of leave taken under each of the 5 leave types.

If an employee’s leave overlaps with a holiday or a weekend, it does not count as a leave day. Worked days represents the number of days an employee worked or is scheduled to work.

Worked Days is calculated as (Company Working days – Holidays – Weekends – Not Employed Days – Total Leave days)

You can look at this view during the last week of a month, to calculate the next month’s capacity (in work days) for the entire team. This will be helpful to evaluate whether you have enough capacity to meet the demand (work) ahead in the next month.

View Annual Employee Attendance Report

While the previous sheet was about viewing all employees at once in a calendar view one month at a time, we also need to see one employee’s data across months. This is where the Employee Report comes in handy.

Here we have three inputs: Year, Employee name and Starting Month of the report needs to be entered. The template automatically calculates the report end date based on whether the employee has left the organization or not.

That is, if the employee has left the organization any day after the starting month, the termination date shall be displayed as End date or the end date of the current report is displayed as End date.

This sheet has 2 pages as well. First, the calendar view.

As we discussed with the Team Dashboard, the colors and the legend work the same way. For the chosen employee and year, we can visualize the complete year’s leave patterns.

The second page presents the summarized count of leave and worked days.

      When scaling the template to accommodate a larger team, the named ranges do not expand automatically. You will need to manually adjust them to include the additional rows.

  • Is there a limit to how many employees you can have? I try to copy and paste down on the Team Dashboard Sheet and it will not go past a certain line even though I have more employees listed on my Employee Sheet.

      By default, the Monthly Team Calendar supports up to 30 employees. However, you can easily extend this by duplicating the formulas from the last row:
      1. Select the last row with formulas, then drag the fill handle (small green square) down to add more rows.
      2. Alternatively, select the last row along with blank rows below it and press Ctrl + D to copy the formulas and formatting.

      • I have tried to copy and drag down but it will not allow the names to continue past the 30. The formulas are being carried down into the cells but nothing is transferring over. I am not sure what is wrong.

  • This is awesome, how can I tweak this so if employee’s leave overlaps with a holiday or a weekend, it DOES count as a leave day?

    So if they take a sick day on a weekend the sick day color would show instead of the weekend color ?

  • Hi, the template is great! However, it would be really useful if you could add a column with a calculation to show days remaining? I have added a column in the employee sheet which states total days entitlment, however when I input a simple formula to calculate the days using the employee report sheet it automatically recalculates when I select a different member of staff. Just wondered if there was a way around this as I am not very familiar with sheets or formulas? Many thanks!

  • Hello, I recently took this report over from a colleague who left so I am unfamiliar with fixing it.
    We use the leave, team dashboard, and employee tabs, but when employees input their leave on the leave tab it has stopped updating it in the reports. Any advice on how to troubleshoot and get these reports to update again?

      The color of the leave type has to be manually changed in each location. For employee report calendar and Team dashboard calendar, you need to select a cell inside the calendar and change the color in conditional formatting.

    I was wondering If there is a way to have repetitive dates. Some people work part-time on a fixed schedule. I’d like to be able to show that they are never there on Monday, for instance.
    At the moment, I’d have to add one leave per week for this, which is a bit cumbersome.

      There are two possible ways:

      1. The simpler solution is, you can enter not applicable in settings sheet and delete leave type legend for team dashboard and employee report.
      2. Delete the leave type legend and conditional formatting of the colours that are not required in team dashboard and employee report. Select any cell inside the calendar of team and employee dashboard and goto Format ribbon -> Conditional Formatting.

      However, you will have to do it separately in leave dashboard and employee report.

      Yes, you are correct. You need to enter leave for 24th Jan on one row with start and end date as 01-24-2022 and another row with start date as 02-21-2022 and end date as 02-24-2022 with same employee name.

  • First, thank you for providing this amazing template. It is exactly what I needed and I have been able to add more leave types to suit my needs. I need to have two holiday sections, one for Canadian Holidays and one for American holidays. I created a second Holiday table on the settings tab but am stumped with how to modify the formula on the Team Dashboard tab. I will leave H for the Canadian Holidays and I want to use A for the American Holidays. Where do I modify the formula?

    In the settings sheet there is a row dedicated for “holidays” and I would like to create a similar row with a different title for different usage such as “Recess Week”. Is it possible?

      Yes, you can create a new table to list the recess week holiday days and following are the next steps involved. (Required medium skill on Excel formulas)

      1. Unprotect the employee tab and team dashboard tab.
      2. Replicate the formula used to highlight the holiday in employee & team dashboard tab and change the table to recess week holiday table. (Ensure open and close braces are correctly done)
      3. Replicate the conditional formatting used to highlight holiday and change the table referring to holiday as recess week holiday and choose the preferred colour.

      You can right-click anywhere inside the calendar and select conditional formatting to view the list of conditional formatting used to highlight the leave. You can then click the same and change the color.

      Regarding holiday,

      You can enter the list of holidays one after another. Currently the holiday is limited around 1000 and it will be more than enough for a year.

    My working week is Monday-Friday. I have had employee who worked overtime on the weekend which I recorded in the leave tab however because Saturday and Sundays are not work days – the overtime is not being recorded.

    Is there a way around this?

    There is one error that is happening to me that I can’t seem to figure out; I’d love your feedback.

    I have entered all my employee’s information on the “employee tab.” However, when I view the “Team Dashboard,” it has employee 3 as having a recurring vacation day on the 15th of every month. Is there a way to clear that? I have not entered any data for Employee 3 on the “Leave tab.”

    What if you only have two types of leave you want to track? We just have PTO so I figured I would track PTO and then a half-day option. However, every time I delete the other three, it changes the cell color of the days with no leave input from white to a color of one of the three leave options I am not using.

  • After filling in the data for July 2021 when I go to August 2021 and try to fill in, the data for July also changes. Basically all the months are showing same data. Please help resolve this. Thanks.

  • We love this template and it’s been very useful for us. Do you have any suggestions for how we can give employees live access to only their own summary information? Using importrange in another google sheet doesn’t bring in the formatting.

      Yes, you can change the colour by right-clicking anywhere inside the calendar and select conditional formatting to open the conditional formatting panel to change the colour.

    Thank you for your template. I am really loving it.
    But there is one option that I can’t find in it.
    In my country, sometimes on a particular month, we have a Saturday or a Sunday as an official workday.
    Is it possible to somehow mark these particular weekend days as workdays?

  • Thank you for this template. It’s just what I was looking for!
    On employee 3, day 15 is always showing filled in with a vacation day, unless of course it’s a weekend.
    It is not being counted as a vacation day, but the cell is filled in with that color.
    Is there a way to fix this?

      You can enter the hours in settings instead of days and then in employee and team dashboard, multiply the working days formula with number of working hours for each day. For example if working hours is 8 hours a day multiply the formula with *8 at the end.

  • Can the template support more than 30 workes?. If can how to add the workers because when I added the 31 worker, it does not appear in team dashboard, leave and employee report.

  • As mentioned in one of the comments, changing the name of leave in the settings sheet and then applying a leave choosing that leave name does not add the color. It instead shows the name of the leave in the Team Dashboard sheet.

    For ex:

    I changed the name of leave from Vacation to Casual and then created a leave for an employee and chose Casual as leave type. However, the team dashboard shows Vacation text instead of showing the Black colour.

    Any advise here. Thanks!

        There was a mistake in my earlier query. Let me rephrase

        leave type = Vacation
        leave background cell colour in team dashboard = Black

        1. I changed the name of leave from Vacation to Casual in the Settings page.
        2. I then created a leave for an employee and chose Casual as leave type.

        However, the team dashboard shows ‘Casual’ text instead of showing the Black color for the Employee.
        I would want the cell to show the Black Color rather than the text.

        Hope this is clear.

    I think there might be some troubles with the “leave” tab. After a few entries (4 or so) of the same employee, the days won’t update in the “TEAM DASHBOARD” tab. Is there a need to adjust the formulas if there are multiple entries of the same employee?

  • Thanks for this great resource! On the “Employee Report” tab, is there a way to see an employees vacation days, etc for the entire calendar year, and not just through Today’s date? Would that require significant formula manipulation?

  • How do I change the colours of the different leave types? Also, when I change the leave type name to something else, it removes the color settings in the calendar view and just displays the name of the leave type?

      Colors are changed in Conditional formatting rules. When leave type name is changed, the input data (leave data) also have to be updated with new leave types. If any questions, please email file to support@indzara.com
