Step 1: Customize the template for your needs

In the Settings sheet, define your recruitment tracking templates’ key details like the stages of application, source channels and the decline reasons as per your organization.

Step 2: Enter Job Details

The Applications: This is where you’ll enter all the information related to the candidates/applicants for the open position.

Begin with the job title, the recruiter and the job posting date

Step 3: Enter Applications information

Once applicants start coming in, the details can be entered as shown below along with their source in the respective columns.

  • Enter the candidate name and the source of the application (example: LinkedIn, Indeed, etc.)
  • As candidates flow through various stages of their recruitment funnel, enter the dates when the candidate reaches a particular stage (Application received, phone screen, hiring manager interview, etc.).
  • Once a hiring decision is made, enter the hire date and joining date in the corresponding columns.
  • If the candidate gets rejected, give the status as “Not Hired”, enter the decline reason in the column for the same.
  • We have additional columns for your comments and cost. Enter them if available.

That’s all the data entry steps that are needed to get your fully automated recruitment applicant tracking system in place.

Now, you can open the Dashboard sheet and use the metrics and visuals for crucial hiring decisions or present them to senior management.

  • Hi!

    I recently removed the table format in some sheet, which changed certain formulas in the Dashboard tab. For example, in cell K19 under “Hired Candidate,” instead of referencing CALC[CANDIDATE NAME] and CALC[APPLICATION STATUS], the formula now shows CALC_APP!$A$4:$A$2000 and CALC_APP!$J$4:$J$2000.

    I’m trying to correct the formula to its original format, but the sheet is protected. Would you be able to share the password to unprotect the sheet so I can make the necessary adjustments?

    • We regret the inconvenience caused.

      The password to unprotect the sheet is indzara.

      However, I recommend moving the data to a fresh copy of the template instead of fixing the formulas since fixing the formulas in the CALC table will be time-consuming.

  • Question: I have over 300 open requisitions and scores of candidates for each requisition. It would be unreasonable to enter each applicant individually. Is there a way to pull a report from my company ATS and upload the information to the premium spreadsheet? Assuming the answer is yes, can you suggest a way to update the spreadsheet using a weekly upload?

      Yes, we can use power query to get data from an API or database, if you company ATS has a API or a database where the requisitions and basic candidate information are stored.

        The free template which you considered for the demo video consist only one category with single quantity which is not beneficial for us. also we required more process from CV screening, approval of cv , preliminary interview by our comapny, second round client interview, hired, visa issues, medical completed, visa stamped, ticket booked, deported from hme country, iqama prepared, Plant ID prepred, Mobilized to sit etc

  • I’m trying to make multiple tabs for different positions on the excel file. When I copy and paste a tab to a new tab the formulas won’t stay. For example the days in hiring is incorrect and the active pipeline table doesn’t work. Can you create multiple tabs for different positions without messing up the forumulas?

  • Hi, Can you add a stage in the process to the pipeline and funnel. We use a one way video interview before the in person interview. I would like to track the dates of the one way video interviews similar to the other stages.
    The ideal stages to include would be Application, Phone Screen, One Way Video Interview, In Person Interview , Offer.

    I really like your recruitment tracker. I read through some of your replies to comments. I needed further details about this explanation you provided a user in 2016

    Please try the following steps:

    1. Add stages in cells C10 and C11
    2. Add columns for new stages in the table in Recruitment_Tracker_V1 sheet
    3. Update formula for STAGE column
    4. Unhide hidden sheet ‘Help’
    5. Add rows (with formulas) to account for new stages (see columns B to G)
    6. Update the summary section now to include the new rows.

      The active pipeline represents applications that are not closed yet. the formula is in the hidden sheet called HELP. Please see column G. It is counting applications that have blank status.

    To begin, this is an amazing template.

    I have a question around the Counta(T_APPDATA) formula that generates the candidates and days to hire numbers. I was trying to write another formula to count core staffing, which i have added to the Applicant’s Information table, but I am unable to write this formula for some reason. I tried =COUNTA(T_APPDATA[CORE]). I noticed that you somehow have made “applicant name” as an option for this formula.

      The COUNTA function counts non-blank values in the column APPLICANT NAME in T_APPDATA table. If CORE is a column name in the T_APPDATA table, then your formula should work.

      The Recruitment Manager https://indzara.com/product/recruitment-manager-excel-template/ can be used by agencies too. If there are specific requirements, please let me know.
      Recruitment Manager has features in the recruitment tracker plus a lot more.
      Upgrade will be planned and prioritized based on customer feedback. There is currently no upgrade planned.
      When a upgrade is published, I will email the file to all customers. Mostly, it should be easy to copy and paste (special as values) the data and would not take more than 5 to 10 mins one-time. I will also be available to help with that if needed.

          • The template does not have any limitations around the time between job posted date and recruitment stage dates. Even if it is post one month, it should work.
            The errors happen if job posted date is after the recruitment stage dates or if any of the needed recruitment stage dates are left blank.   • Hi, Thank you for such a wonderful spreadsheet. When I downloaded the template, I entered practice names to see how it would work. However, the Active Pipeline and the Recruitment Funnel sections do not populate after each entry as it shows in the video.

    I have not changed or added anything to the template. Have I done something incorrect? I am not very knowledgeable in Excel, but this template would really be a valuable asset for me in my recruiting function.

    Please let me know what I may need to do to have the template work as shown in the video.

This has affected the STAGE calculated column and thus shows incorrect calculations. Please correct me if I am wrong.     Thanks for this great recruitment tracking tool! On Auust 23rd you shared steps for adding additional stages to the v.1 Recruitment tracker. When I try to add columns for the new stages, however, I receive an alert that this operation is not allowed. It says “The operation is attempting to shift cells in a table on your worksheet.” Are you able to further information on how to do this?

    Also, when you say to update the Summary Section in the last sep, do you mean update the chart data? Thanks in advance for your help!

        1. When I tried to insert columns to the left of Decline Reason column, I didn’t receive this error. Can you clarify how you are inserting columns?
        If you right click on the cell inside the table and choose Insert – ‘Table Columns to the Left’, it should insert columns.
        2. Yes, the summary section charts might have to be adjusted to fit the new stages.

  • Thank you for creating this tool. It saves correctly on my desktop, but when I attempt to drop it into Google Drive, it is no longer useable. It’s almost as if the document locks up and only about 20 lines are viewable. Do you have any idea what might be happening and how to correct the issue? Thank you!

      • Hello how to get the correct formula as I want to make a copy sheet only instead of copy work book? But it shows that not all formula will copied.

        • There is a hidden sheet called HELP which has the calculations that create the funnel, pipeline and top decline reasons. When you copy the ‘Recruitment Tracker’ sheet, the new sheet will also point to the same HELP sheet and thus not reflect the new job’s calculations. If you are familiar with Excel, you can edit the formulas/charts and point to a new HELP sheet that you can copy.

  • Great tool, however i was trying to copy the sheet (for another job posting) and i noticed that the metric “Top decline reasons” all the way on the right does not populate a list, it remains blank. on the original worksheet it works fine

    • Thank you. To use this for multiple jobs, please make a copy of the workbook itself (not worksheet).

      • I’m not that familiar with the formula, would you mind to give a guide so that we can copy sheet only?
        like what is the formula I have to make to this ‘active pipeline’ recruitment panel’ and ‘decline reason’ will match correctly?

        • I am really sorry. It is not a single formula. But here are the steps.

          1) Create a copy of the Help sheet (HELP_1)
          2) In the new HELP_1 sheet, note the formulas that look to the recruitment_tracker sheet table (T_APPDATA). For example, column G in HELP sheet – Change the formulas to point to the new recruitment_tracker sheet’s (that you had created) table.
          3. Then, in the chart in the new recruitment_tracker sheet, change the data series to the new HELP_1 sheet’s column G.
          You can repeat steps 2 and 3 for decline reasons and recruitment funnel.
