How to use the Leave Tracker Excel Template

The template has 5 visible sheets. (Settings, Employees, Leave, Team Dashboard, Employee Report).

Here is the overview of steps to use the template.

  • Enter Leave Types, Select Weekends and Enter Holidays in the Settings sheet
  • Enter list of employees in Employees sheet
  • Enter leave data for employees in Leave sheet
  • Choose a month and view vacation calendar for the team in Team Dashboard sheet
  • Choose an employee and view/print annual employee attendance report in Employee Report sheet

Detailed Steps

Now, let’s see the steps in more detail.

Before we begin, if you are new to Excel tables, please read Introduction to Excel Tables for data entry. Data entry in all our templates use Excel tables and a quick introduction to that will get you going in the correct direction. 

Step 1: Enter up to 5 types of leave to suit your company

The template by default supports 5 types of categorizing your leave. Since different companies may have different names and different number of leave types, the template supports customizing them.

By default, you will see the leave types (Vacation, Sick, Unpaid, Half Day, Other). You can just type over these names and replace with your own preferred names.

How to handle half-day leaves

You can see that there is an option to assign ‘Day Value’ to each leave type. This setting is present to handle partial days of leave. For example, I have entered 0.5 for ‘Half Day’ leave type. That means that when an employee takes Half Day leave, template will add 0.5 to leave taken total and reduces the Worked days by 0.5.

If your company allows 2 hours leave in an 8 hour workday setup, that would be 0.25 day. You can create a leave type and enter 0.25 as ‘Day Value’.

Step 2: Select your company Weekends

In order to calculate attendance of employees automatically, we need to know company weekends so that we can remove them from working days.

Since our goal is to provide a global solution to vacation tracking, we have the option of selecting any combination of weekend days. In the screenshot above, I have chosen Sunday as Weekend.

So, this tells the template to do 3 things.

  1. Template will highlight Sundays visually differently on the vacation dashboard
  2. While calculating attendance, it will not include the Sundays as Working days.
  3. Sundays will also not get counted as leave.  When an employees takes Thursday to Monday as Vacation, it will count only as 4 days of leave (Thu, Fri, Sat, Mon).

Step 3: Enter company holidays

Enter list of holidays in your company.

Enter Company Holidays for 2025

The template will treat the holidays similar to Weekends for calculation purposes, but holidays will be displayed in a different color on the calendar. This allows us to view holidays and weekends distinctly.

Step 4: Enter Employees’ data

Now, we move to the Employees sheet.

Enter Employee Name, Start Date and Termination Date (optional)

We will enter the Employee Name, Start Date (date when the employee began employment) and then Termination Date (if applicable). The Start Date and Termination Date allow the template to calculate the count of working days for each employee correctly.

Since the template can help you manage leave for multiple employees for long term windows (even many years, as there is no limit ), it is quite possible that new employees join the company and current employees may leave. I want the template to work smoothly for you even when that happens.

Step 5: Enter Employee Leave Data

Now, for the last data entry section, we move to the Leave sheet.

We enter leave taken by each employee here. There are four fields (Employee Name,  Leave Start Date, Leave End Date and Leave Type) in this table.

If an employee takes a 5 day vacation, you can enter that in one row by providing Leave Start and Leave End dates.

If an employee takes a single day leave, please enter same date in Start Date and End Date fields.

Leave Type field has data validation built-in which shows the 5 options we set in the Settings sheet.

We are done with data entry. It’s time to see the template’ magic in creating the vacation calendar and report.

Step 6: View Team’s Monthly Leave Dashboard

The dashboard is interactive as it allows the user to choose the month for which we want to view the leave data for. We will enter the month by selecting Year and Month.

There are two pages in this Dashboard sheet. First is the leave calendar view.

As you can see from the above screenshot, the leave types are shown in different color. The legend is shown at the top indicating what each color means. In addition to the 5 leave types, we also have display for the following: Holidays (purple), Weekends (Dark Gray), Not Employed (Dot pattern) and Not Applicable (Diagonal Line pattern).

Order of priority for colors: Not Applicable > Not Employed > Holidays > Weekends > leave types

Holidays and Weekends are self-explanatory. Not Employed will represent the days before the employee began employment and days after the employee termination date (if applicable).

You can use this calendar view to assess if you will have enough coverage in your team for specific weeks (for example, during the holiday season). 

Monthly Summary

This sheet also shows the monthly summarized count of days taken off under each leave type, total leave taken and Worked Days.

Leave Tracker 2024 Team Dashboard – Summary of Leaves

Total Leave is the sum of leave taken under each of the 5 leave types.

If an employee’s leave overlaps with a holiday or a weekend, it does not count as a leave day.

Worked Days is calculated as (Company Working days – Holidays – Weekends – Not Employed Days – Total Leave days)

Worked days represents the number of days an employee worked or is scheduled to work.

You can look at this view during the last week of a month, to calculate the next month’s capacity (in work days) for the entire team. This will be helpful to evaluate whether you have enough capacity to meet the demand (work) ahead in the next month.

Step 7: View Annual Employee Attendance Report

While the previous sheet was about viewing all employees at once in a calendar view one month at a time, we also need to see one employee’s data across months. This is where the Employee Report comes in handy.

Here we have three inputs.

Select year, Employee name and Starting Month

The Year and Employee Name selections should be easily understandable.

The report has the flexibility to allow you to choose the Starting Month from which you need the report to be generated. Once these inputs are chosen, the template automatically calculates the End Date. This is based on whether the employee is no longer with the organization, then the termination date is considered the End Date or the latest date in the Report is considered End Date.

That is, in the above example, the End Date is the last date of the current Employee Report for Clark since he is still with the organization.

This sheet has 2 pages as well. First, the calendar view.

As we discussed with the Team Dashboard, the colors and the legend work the same way. For the chosen employee and year, we can visualize the complete year’s leave patterns.

The second page presents the summarized count of leave and worked days.

Extensions

How to extend the functionality of the template?

What if I don’t need 5 leave types

No problem. You can just remove additional leave types easily.

In this example, I have selected last 2 rows of the Leave Type table. Then, right click to bring up the menu that you see in the image below.

Click on Delete –> Table Rows.

This will remove the two rows and you will be left with 3 leave types to track for your company. That’s how easy it is. 🙂

How to enable drop down values for Employee Name in the Leave Table?

First, we will extend the table to additional empty rows. Click on the end of the table and drag down.

Once you do that, the table will look like below, with new empty rows.

Now that you have new rows inside the table, the drop downs for both Employee Name and Leave Type will work.

It is recommended that you add only a few empty rows at a time. The more rows we have, Excel has to process more data when it is performing calculations needed for our dashboard and employee report. This could slow Excel down.

Can I remove employees from the file?

On occasions, you may want to remove an employee’s name from the file if he/she has left the team.

  1. Select the employee’s name in the Employees’ sheet
  2. Right Click and Choose Delete —> Table Rows

You can also remove the employee’s leave data from the Leave sheet, but that is optional.

How can I share this file with my team?

  • Print
    • Press Ctrl+P or select Print from the File menu.
    • Both Team Dashboard and Employee Report are set up ready for printing
  • Export to PDF
    • From the File menu, select Export and click on ‘Create PDF/XPS
    • Select the location to store the PDF file on your computer
    • Provide a name to the PDF file and click Publish.
    • You can then email the PDF to your team members or post in your local shared drive.

I don’t like the colors. How can I change them?

Colors are personal preferences. Sometimes, you may want to use your company’s color palette in the documents. Not a problem. Let me explain how you can change the colors used in the template.

As an example, I will show how to change the Holidays color.

Select ‘This Worksheet’ to show formatting rules used in the current sheet.

At the top, you will see the rules used to highlight Not Employed, Not Applicable, Weekends and Holidays.

Let’s select the Holiday rule (the purple one) and then click on ‘Edit Rule’.

In the next window, click on Format to choose the new formatting.

Now, you can see the option to choose a color.

Select Color of your preference and click OK

Select the color you prefer and click OK. You will need to click OK in the next couple of dialog boxes as well. Now, you should see the holidays represented in a different color.

You can then save the file (Ctrl+S) to save your changes.

In the conditional formatting rules, when you scroll down, you will see the colors used for the 5 leave types.

Click on those rules and change colors if needed. The procedure is the same as we did for the Holidays.

How can I edit the formulas? The sheets are protected.

You can unprotect the sheets using indzara as password.

If you are new to this, please read this article on unprotecting/unlocking sheets.

What if I have more than 30 employees?

You can enter more than 30 employees in the Employees sheet. There is no limit imposed here. However, the Team Dashboard shows only 30 employees. To extend that, follow these steps. To support 35 employees,

  • Unprotect the Team Dashboard sheet with the password
  • Select cells B36:AO36 (this is the row of Employee 29)
  • Drag down for 6 rows as to fill them with the formulas.

Now you should see 35 (29+6) employees accounted for.  If you need to extend for more employees, follow the same steps but increase the number of rows you are copying.

If you print or export to PDF, adjust print settings accordingly to include these new additional employees.

How to add calculations such as Attendance %?

You can unprotect the Team Dashboard sheet and add calculations if needed.

For example, if you need to calculate employee’s attendance %, you can follow these steps.

  1. In cell AP8, type =AO8/(AN8+AO8)
    1. This calculates Attendance % as Worked/(Leave+Worked)
  2. Then, select cell AP8 and drag down to fill the cells AP9 to AP37.

This will add a column of Attendance % to the Dashboard.

This was just an example. You can add any other calculations as needed for your company’s needs.

      You can apply any number of leaves within a month for the same employees with different leave types one below another on the leave table. You can check the same in the sample file.

      But if you want to apply two leave types on the same day for example, half day personal leave and half day casual leave on 15-Jul-2024, it is possible only on the premium template. Following is the link to the same for quick reference:

  • Hi , I recently came across your Free excel template for employee leave vacation tracker template. This template matched 90 % of my requirement. I have an additional requirement of calculating leaves, present and such data, from dates from 25 to 26. ie, if i’m calculating total leaves, or total sick leave or total present for say april 2024, then i want to calculate from 26th of march 2024 to 25th of april 2024[ instead of calculating from 1st april 2024 to 30 april 2024]. rest all same as per your excel. is there any way to achieve this. ??.

      No currently you cannot enter the data directly in Team Dashboard. Once you manually enter the data in the Team Dashboard the formula will be removed and changing the month or year will not change the entered value. Also it will not be displayed in employee report.

  • Hi. I have a situation that our staff entitle their Annual Leave pro-rate basis (8 days for 12 months) regardless their contract in different year. But in this template, it auto counts 16 days AL if the staff join in 2022 and end their contract in 2023. Pls assist. Thank you.

      If you want to work online and offline, then you can upload the Excel template to Microsoft OneDrive an use Excel online, which is similar to Google Drive and Google Sheets. But Google Sheet template will not work offline in Excel.

    My input: employee A leaves on 13 Dec. 2022
    The output: employee A leaves for all Dec. 2022, except for 13 Dec. 2022.

    Checked that the date format and other info is correct. Wonder that this is a common issue or not, and how can I fix this issue.

      The same sheet can also be used for 2023 or any year. The yellow colored fields are editable in the template. Hence at the top left of the Team Dashboard and Employee Report you will have the option to change the year.

  • I love the Employee Leave Tracker, but how can I view different years at one time? Ex. We are a school so I need to be able to see how many days they used that school year not the physical year. I need to be able to view Aug. 2022- July 2023 instead of just Jan.-Dec. 2022. Is this possible?

  • Hi there,
    Thank you for the amazing tool. I’m using it on google sheets but I’m wondering how to do a certain functionality.

    We sometimes work on holidays and want these to be counted as a value of -1 so I changed the unpaid leave type to be over time and a value of -1 but it seems that the holiday overrides everything else and I wanted to change that to have the overtime days as the priority so I don’t have to remove these holdiays for the rest of the team.

  • Hello, The last 4-5 days of the month have incorrect days with the corresponding date.
    For instance, january starts on saturday and ends on monday,,,this is correct, but when i go to February, it shows the 27 as Sunday, 28 as Monday, then skips to Saturday,,so i go to march, and it starts on correct day, but it ends with the 28th as a Monday, 29th as Saturday, 30th is Sunday, and 31st is Monday. If i change them in the spreadsheet, for that month, they are copied to next month.
    How can I fix this? So to recap, each month end shows the wrong days of the week.

    A couple of queries, please

    1) I succeeded in changing the colors on the Team Dashboard
    2) However it doesn’t replicate under Employee Report
    3) We are tracking a 6th leave item (Exchange Days)
    – the Employee Report is the only one that has additional space when moving around I seem to have disturbed the formulaes. Hence, I kept it to the 5 categories. Is there a way I can include it without disturbing the formulaes
    4) the Employee Report provides for all employees’ YTD leave taken/consumed/worked. But when I put in a formula to calculate YTD balance, and when you move from employee 1 to 2, that formula moved from employee 1 to 2… but 2 may have different leave entitlement.
    Is there a way you track balances here

      We are glad that you succeeded on changing the colors in Team Dashboard but you will have to do the same in Employee Report again, since both have different conditional formatting.

      Regarding 6th leave category,

I’ve added a new column to the employee data tab to assign employees to different teams and added a drop down to the team dashboard to filter down to (B7) the team i’m interested in. How would you update the formula under employee name (column B) to return results based on the filter? Or something to that effect. Thanks!

      Currently, the template is designed to calculate in days, but you can edit all the formulas that are reflecting the days and type *8 at the end of the formula to convert it to hours instead of days. 8 can be anything according to your companies regular working hour’s policy.

  • How can we have multiple tables for the various holidays in different countries? I work for a global company and easily discern which holiday goes with which employee based on their country all in the same tracking sheet.

      • I shall say my issue was fixed by manually making the tabs re-calculate, they just aren’t updating automatically, but that’s not an issue to me.

        I’d love to be able to make the END DATE of the Employee report, December 31st of the current year, so that I can look at all the future vacations altogether. How can i do that if you don’t mind me asking?

    • You can unprotect the team dashboard using password indzara and select cells B7 to AG7 and press CTRL+SHIFT+L to apply filter.

      Regarding slicer,

      You can add a row between 7 and 8 and select cells B8 to AG38 and press CTRL+t to convert the selected range to table. Now you can use table slicers.

      Simplest way to solve your requirement,

      Have a place in Team dashboard to enter the date you want to filter and modify the Employee List formula to show only the employees who took leave on that date. This can be take as a customization project for additional fee and you can write to support@indzara.com to get an estimation.

I do have a question in the Employee Report tab – somehow template is only showing data for up to rows 33 on the Employees tab – any person added down from row B34 onwards is not visible on the Employee Report tab.       I believe, you have entered the employee data outside the employee table, due to which you are unable to select the employee in employee report. In team dashboard, you will have to duplicate the formulas from the last row to more empty rows to view more more employees in the dashboard.   • Love your excel spreadsheets. However, what if I have multiple employees with different vacation and PTO days. Example: Employee 1 has 14 days of vacation and 6 PTO days a year. Employee 2 has 7 days vacation and 7 PTO days. I can only see that your input on takes one total of days for all employees.

  • You’ve done an excellent job with both building the template and explaining how it works, how to modify it, even change colors. And for free? In these days, that’s unheard of.

    I have a different form that I’m working on (and I don’t have the skills you do). Its for tracking receiving and using COVID related inventory (masks, hand sanitizers, disinfectant, etc for multiple locations that I’m responsible for. I have something in the works but would love to collaborate with you or see if you’d be interested in redoing it for a reasonable fee.

    However, I noticed that the “holidays” and “weekends” are displayed in the dashboard with priorities over “vacations” or other “leave type”. They will show up in their color over any other type of leaves. To help me with my planning, I’d like to see if the vacation an employee is planning falls on a Holiday (example statutory holidays set by union). Anyway of making them show over?

  • My department has 3 types of teams which refer to their days off. Team A off Monday, Tuesday, team B Thursday, Friday and team C Saturday, Sunday. Then the teams will rotate every 3 months. Is it possible to set certain employees with certain days off?

  • Our business is open 7 days a week and employees work different shifts. For example, employee A may work Sunday through Thursday and employee B may work Friday through Tuesday. If I designate Saturday and Sunday or any other two-day combination as ‘weekend’ it does not calculate the correct number of days worked when a shift straddles those two days. Is there a way around this? We also carry unused vacation days forward.

  • Absolutely impressed by your template, its very detailed, and well organized , although it would be nice to see opening balance of leaves, that shows the remaining for each individual, As currently there is no such facility.
    But having said that , thanks a lot for this lovely format, especially customizing options are not at all complicated.
    But please help with regards to leave opening balance and remaining days that calculate for each individual as its different for everyone., that would be an icing on the cake..

    I am wondering if it is possible to add a column with the employee’s entitled vacation and a second column to calculate the balance of their available vacation.(Unbooked) on the dashboard and employee section. Instead of the total leave and worked days I would like it to have vacation entitlement and available vacation balance displayed there.
    I like the fact if I re-arrange the employees the booked dates move with their names.

  • I want to modify each employee individual report to include the total time they are entitled to in cell AQ and track via another sheet1 but it is keeping the same formula for all employees on the drop down even after I save.     I found this template very useful. I am wondering instead of tracking days of time off, if there is a way to modify this sheet so that specific hours are tracked? For instance, our company allows staff work OT so specific hours need to be tracked by inputting OT 3 hrs and at a later date, when it’s being used, remove it by using the negative number from the leave tab (i.e. Time in Lieu 3) which than is reflected on the dashboard and changes the remaining balance to 0.
    If there is a course for this, I would love to take one!

  • Is there a way i can allow each person to have a different amount of holiday, someone who started half way through the year may only have 11 days holiday to use, where as someone who has worked from the beginning of the year may have 21?

    When i change it for 1, it changes for everyone?

  • This works really well, except how do i edit the formula so that it does not deduct sickness and home working from your leave? If an employee gets 22 days holiday, I do not want the formula deducting leave when they work from home as this template seems to do that? I simply only want it to look at certain codes and deduct those eg vacation and half days.

If I try to simply use the “fill” option to indicate those dates, August, November, and December all fill.     Question: What if we are to work in the weekends and that we would like that to count, how do we overwrite the formula to count the weekends, when there is work?

    For example: If i were to register work travel for Employee 1 from Friday 29 March 2019 – Tuesday 02 April 2019, I would like to count the work travel days as 5 days (including Saturday & Sunday), how would i do this?

    This kind of work is very sporadic. It doesn’t happen very often but it does when sometimes when there is work travel in the wekend, we count it as such.

    • This would mean that there will only be a limited number of weekends where work travel is required. Let’s say for this example, Employee 1 has this specific weekend work travel in March.

Would the premium version allow me to change the priority of “holidays” and weekends.” Our use is a bit unique, folks get a couple of holidays off but if they take a vacation week block, those days count as vacation days and not a holidays. Does that make sense?

          The defined weekends will not be calculated in block vacations. If an employee is taking leave from one Monday to the next Monday (assuming Sat and Sun are weekends), it will count as 6 leave days and not 8. Sat and Sun will not be counted as leave days against the leave allowed for the employee.

  • I think this is an amazing leave tracker tool which works amazingly for my exempt employees with using days or half day increments. I would like to know how to change this value to one that is strictly hourly. For example an employee uses 3 hours of FMLA leave time deducting from their entitlement of 480 hours. If you could help with that it would be wonderful.

  • hi there. I really love your tracker. It is very helpful and informative. We can definitely use this. However, I have things to add but I don’t know how. Below are my queries:

    1. In our company, we count weekend as number of leaves too. Say for example your leave starts from Monday and ends Monday next week. Since some days falls on a weekend, this too should be counted. Can you help me do that?
    2. I would like to add a department Column in the Employee Tab. And add the same in Team Dashboard tab. This way, The team can be able to view the leaves Department wise.

  • Thank you for the tracker. it is really beneficial on my part. I just have one issue I wanted to address, and i’ve been stuck there for awhile now. For example, employee 1 has paid annual leave from July 1 to 20 which would make it a total of 20 annual leave. however on employee report tab, it will only count a total of 13 on annual leave as it doesn’t include counting the days that falls on weekends and holidays for that certain period. i needed the annual leave counted as ease which is 20 days. Is there anything that can be done?

      Any weekend or a holiday that is defined in the settings will not be part of the vacation. In this case, in a span of 20 days, there will be two weekends. So if each employee gets a day off in a week, then the actual vacation availed will be 2 days less.

  • I love this tracker! Is there a way to have the tracker also count how much leave an employee has left each month? And also notify you when there is no more leave available? Example: Employee 1 starts with 120 hours for the year. I would like to see how much leave Employee 1 has each month until there’s none left. Like a countdown.

  • Is there a simple way to make this spreadsheet calculate by the hour instead of by the day? Most of our employees are paid by the hour and can use anywhere from 0.25 to 8 hours of personal time per day. Any help you can offer would be greatly appreciated. Thanks!

    • The template is currently designed only to track in terms of days. Is it possible to put the hours as fraction of days? if the standard day is 8 hours of work, then 2 hours of personal time would be entered as 0.25 day?

But I have one issue: How can I enter multiple leave types for the same employee…. it seems that the sheet “LEAVES” only allows 1 set of data. For example employee ROBERT was sick on 17th Jan. He will also be on vacation 22 – 29 Jan… but I have already used the space for sick leave which is over written when I then enter vacation dates. Thanks, Kim

      Any leaves that you enter has a start and end date. Also, any kind of leave availed will be added into a separate row. For instance, sick leave will have the same start date and end date.     Just one question please: Where can we enter the number of leaves entitled to employees at the beginning of the year? For e.g. All our employees are entitled to 24 days starting 1 January. To that, we add the unused leaves from the previous year. Let’s say Employee 1 has 24+2, how do I manage this? I tried to copy +paste your formula =IF(B8=””,””,(EOMONTH($C$7,0)-$C$7+1)-(COUNTIF($C8:$AG8,”NE”)+COUNTIF($C8:$AG8,”H”)+COUNTIF($C8:$AG8,”WKND”))-AN8), but it gives 25 days.

      This template does not calculate balances based on entitlement. New formulas in new columns have to be written to add that feature.

Is there any way to just retain the plotted leaves from previous months on the Dashboard Tab even if you delete them in the Leave Tab?     Loving the tracker so far and it’s proving very useful so thank you. My one query is if I want to leave a comment tab against somebody’s leave on the team dashboard screen (where they are, contact details etc) the comment is then carried over to the next month and is visible even though there is no leave allocated for that month. Is there a way to lock any comments specific to that month only and not have them carry over?
    Any help is greatly appreciated.

      I am not fully understanding the part on comment carried over even when there is no leave for that month.
      Based on what I understand, you could create a separate table of EMPLOYEE, COMMENT columns. Then, add a new column of formulas in Dashboard which basically looks up the COMMENT for each employee and displays in dashboard regardless of Leave.

    • Thanks Reeta. This template does not calculate Leave balances and hence there is no carry forward option.
      In the Leave Manager template https://indzara.com/product/employee-leave-manager/, you can set Leave Entitlement (Quota) and then calculate balances as employee uses leave. There is an adjustment setting where you can add or decrease entitlement for each employee at the beginning of the reporting period (new year as example).

  • Our company will be giving a half day for Christmas Eve and New Years Eve. How can I have the calendar track these days as half days for employees that will be taking PTO those days besides entering that day as a half day for the employees? Is there a way to make a formula for just those days in the holidays list to state that day is a half day?

    • The template does not directly provide an option to handle this scenario.
      Please try creating a leave type (Company Half Day) and assign a value of 0.5. Then, we have to enter all employees as taking leave of that leave type on those 2 days. It is entering a lot of data (copy/pasting).

  • Would be great if the Team Dashboard could be displayed for a period with the option to choose the “from date” and the “to date”. Background: We need to plan and roster people over the Chrismas and New Year holiday period. It would be great to have a view of the Team Dashboard from mid-December to mid-January. This would allow us to get a full view of absence and on-site for a critical period in our business. Having to choose Year and Month to get the different views does the trick, but it is cumbersome. Thoughts?

    For-instance Employee X is on sick leave from 14-16/10/2019 and then takes Emergency Leave from 21-22/10/2019, how do I capture that, since the template provides for only one entry.

      • I went to the Settings sheet and added two additional rows to the ‘Leave Type’. I named the two additional leaves as Biz Travel and 2 hrs Leave.

        Next, I went to the Employee sheet and pasted =IFERROR(INDEX(L_LEAVE,5),””) adjacent to the existing five leave types. I changed the 5 to 6 and 7 respectively.

        Then chose the colour setting in Conditional Formatting. Voila!!

I entered the employee names and start dates, but they all show as “not employed” on the team dashboard. I am sure it is a case of my failing to enter some field.

    This is really excellent Tool provided by you. I need one support in this Tool that I have to maintain attendance of my 5 branches. If I get the column (BRANCH) after employee name than it will be more useful for me else I will have to maintain separate sheets for separate branch. By the BRANCH column I can use filter to take specific branch reporting.
    I will be highly thankful to you if you facilitate me by providing this change.

    Is it possible to track absence by inputting the leave code directly into the day/month cell. eg, putting ‘S’ into the cell for today 8th April to log an employees sickness today.

    I´m currently translating this template into Spanish on my desktop so that it is easier to use in my organization. The text is done and most formulas are translated automatically when I use my Laptop (in Spanish) so it won´t be an issue for user here, all except the month drop down menu on the Team Dashboard. Is there a way I can translate the months there into Spanish? FYI I have very minimal technical knowledge but can follow step by step instructions. =)

    You’ve put a lot of work into it.

    I have two question:
    1) How can I have assign specific Off-Days for each employee?
    I would like to adapt this for a 24 hour business, like hotel, factory, gas station, fast food, etc.
    2) How can I Hide terminated employees from all dropdown list and team dashboard view?
    I would like to have a cleaner look especially when the dates being viewed are past the termination date.

      By specific off days, do you mean holidays/weekends are different for different employees?
      Hiding or filtering certain employees or employees from a certain department is a feature that will be added in future version.
      These two changes would require significant modifications that cannot be explained in 1 or two steps. Sorry.

      • 1) I would add a new Leave Type called OFF Day, then assign each employee his/her own Off day.
        This has nothing to do with holidays or weekends.

        2) I would add a column in the Employee list page where once an employee is terminated, the manager could select Hide then this would remove any employee with the Hide next to his/her name to no longer show in any drop down list and the Team Dashboard View.

          You can have 5 types of leaves in this template. Off Day can be one of them.

          Once the employee is out of the organization, his/her name will figure in the dropdown on the Employee page. However, you can have conditional formatting to highlight that in the table.

    Is there a way to add to the existing 5 types of leaves such as : Sick, Vacation, Half day, Other, 2 hour block, Bereavement, No charge, Pending. ?

    and is there a place to enter next to the employee Name and Leave table to drag and drop email requests for time off and jpeg so that there is a hard copy record if needed. Right now I do this on my tracker by going to Insert> Object>Create from file>Browse tot he file
    I get employees that always email me there requests for those days off?

    • HI I was able to add what I needed but I noticed you have a problem with the form.
      When you pull the employee report and say the year 2016 and name of employee 1 and End date 3-14-2019

      it show only the correct value for the year 2016

      why not the value entered in Jan 5 2019 ? after all why have the END DATE and YEAR? should it not give the entire value?
      I all so noticed it tracks from January to end of December why not from the month the person started? since many vacations are determined by that, are they not?

        1. Employee report is an annual report and hence does not go past 12 months at a time. End Date is useful to limit the end date within the 12 months.
        2. I agree that in some companies it will be better to start the report from some other month than January. I will try to implement that in a future version of the template. Formulas have to be modified to implement that.

      2. The template is not designed to store the images/emails related to time off requests. However, you can insert images and link to specific time off requests. The file may become bulky quickly. or you can enter hyperlinks to external files.

    This worksheet is great, but I’ve been asked to had a feature and wondering if it’s possible to get the formula. Our office is not allowed to have more than 10% on leave on any giving day. Is there a way to add a counter at the bottom of the “”team dashboard” that will count the number of cells that indicate leave for that day?

      The template is designed to have a fixed weekly off. In case few employees work 6 days a week, then you need to have six days week for all and mark a holiday for all those employees who do not work on the 6th day.

  • I am having issues with my conditional formatting. In some cases I have staff that are on annual leave but also a public holiday is part of the leave period. Due to having staff in different states I have included a public holiday leave type which I key in different public holidays separately. However when I also key in annual leave the same cell which has a public holiday and annual leave day only shows up in the employee report at a white cell with neither leave being counted. I have been trying to get the public holiday to be the main type however even when I move them around in Conditional formatting rules and also selecting Stop It True I it does not work. Please help.

    • In the Leave Tracker template, the order of preference is done in the formula and not in the Conditional formatting rules. Only one conditional formatting rule will be valid for a given cell, so the order of the rules will not matter. We need to address this in the formula entered in the cells (not the cond formatting).

  • Hi this excel sheet looks amazing! I would like to use it for my staff of 50 employees. However we do a lot of 0.5 and 1 days and have 12 leave types to reflect the 0.5 and 1. I have tried to follow your instructions on adding more leave types however I am not the strongest in excel. Are you able to upload another version with at least 10 leave types ( I see some people have been asking for more types). This would be really helpful!!

    The sheet is not calculating correctly, it shows that my employee is not employed but is.
    all the leave input is not counted in the Team dashboad, as some employees has sick leave but is not showing in the team dashboad or on the employee report. it shows that the employee has not gone with leave “0” but the employee has gone on leave.

    This template if magnificent! I need something that calculate the vacation of the staffs per colleague.
    For example
    Employee 1 – he has a 6 day work per week so he is entitled of 1.56 vacation day per month
    Employee 2 – has a 5 day work per week so and entitled of 1 vacation per day
    Then on a separate data, there are estimated 9 holidays in the calendar as per UAE (just an example) I would like to track also their holiday apart from their annual leave.

    Please assist.

        1. Just type sixth leave type in SETTINGS sheet’s Leave type table.
        2. In the TEAM DASHBOARD sheet,
        a. Edit conditional formatting rules. You will see rules for the 5 colors.We need to create a similar rule. The formula for the sixth color is =C8=INDEX(L_LEAVE,6).
        Apply this to all the cells in the calendar.
        b. Insert a column between columns AM and AN. This new column is to calculate the sum for sixth leave type for each employee.
        c. In that new column, we need to enter formula. You can copy formula from cell AM8 and paste in AN8(newly created column). Then drag down the cell to row 37 to copy the formula for all employees.
        d. In the Total Leave column, edit the formula to sum all the 6 leave types (by default it was for 5 leave types).
        3. In the EMPLOYEE REPORT sheet,

      This template is designed to track leaves for each individual in a team/ organization. However, you may add the columns for each leave type to get the totals of each type availed in a month by the team or organization.

      This template is for a calendar month. An overlapping cycle would be a challenge.
      The weekends are fixed for everyone in this template. In this case, you can assign weekly off to each employee differently. However, make sure that weekly off has to be mentioned for all.

  • THIS ROCKS!!! It is seriously like 98% PERFECT for what I needed 🙂 The only ONE thing I cannot seem to figure out is how to change the YEAR field to a START DATE field. I need the leave to be calculated from October 1, 2018 – September 30, 2019 (FISCAL YEAR, not CALENDAR YEAR). I can enter the end date, but cannot for the life of me figure out how to change the formula in B4 from I_RPT_YR to an editable date. Please advise. Thank you for creating such an amazing document! If I can figure out this one thing, using this will save me from DAYS and DAYS of trying to build my own.

      Changing the start date is more involved than just changing the cell B4. We need to edit the cells A12 to A23 to calculate the month. We need to edit the cells C12 to AG23 (they all use same formula). They use the Year and cells A12 to A23, to calculate each date and then find vacation/leave for the specific date.

  • I want to thank you for an awesome calendar!! Is it possible to add another column to the “Leave Data” for remarks and then dynamically display the remarks over the dates of the event. For example if Employee 1 is on vacation form 1-10 August 2018 to Disney Land and they added the remark “Disney” in the “Leave Data” remarks column it would display Disney over the dates of the vacation.

    • The data for the kind of leave is defined in the settings. Hence, it would be a vacation and not a destination where the employee spends their vacation.

      A weekly off defined & declared holiday is applicable to all the employees. In case some people work on the declared weekly off, you can take the following steps:
      1. Not have any weekly off in the organization.
      2. On the leave sheet, list the weekly off for each employee separately.

      Once you take these two steps, your issue will be solved.

      1. Just type sixth leave type in SETTINGS sheet’s Leave type table.
      2. In the TEAM DASHBOARD sheet,
      a. Edit conditional formatting rules. You will see rules for the 5 colors.We need to create a similar rule. The formula for the sixth color is =C8=INDEX(L_LEAVE,6).
      Apply this to all the cells in the calendar.
      b. Insert a column between columns AM and AN. This new column is to calculate the sum for sixth leave type for each employee.
      c. In that new column, we need to enter formula. You can copy formula from cell AM8 and paste in AN8(newly created column). Then drag down the cell to row 37 to copy the formula for all employees.
      d. In the Total Leave column, edit the formula to sum all the 6 leave types (by default it was for 5 leave types).
      3. In the EMPLOYEE REPORT sheet,
      a. Edit conditional formatting rules. You will see rules for the 5 colors. We need to create a similar rule for the sixth color. Apply this to all the cells in the calendar.

    • Yes, the words are already there. The font color was chosen as the same as fill color and hence we cannot see the word. Please edit the conditional formatting rules and change the font to white or black.

    It is understood that cumulative leave taken up to the current selected month is not applicable for the dashboard.

    However I noticed that the “Employee Report” worksheet display the total leave taken for the selected employee. Is there any way I could carry/link this value to display in the Team Dashboard (for particular employee)?

      In this design, we calculate for each day whether the employee has a leave or not. Then, we add all the days available in the view to get the total.
      In the ‘Team Dashboard’ view, we only calculate for one month, but for all employees. In the ‘Employee Report’, we calculate for one year, but for only one employee. Even if you link the value, it will be only for one employee.
      We need to redesign to allow for all employees’ to show total cumulative leave. If you are tracking for only few employees, you can duplicate the Employee report sheet (carefully without impacting formulas) and then can link them to the Team Dashboard.

    I would please like to add a leave count from the previous year.

    Meaning some of my employees has been working for over ten years and over December did not use all there leave.

    So they start with 4 days leave 1 Jan .

    Would it be possible to add a column on the each on the Jan month to add existing total and then take if from there.

  • When I upload the file into google sheets the formulas dont work anymore. I did all defined range names as done in excel in Google Sheets but the formulas in Team Dashboard dont work.

      This template is designed to work on Desktop or OneDrive. You will encounter errors when using it over Google Sheets.
      It’s not compatible with Google Sheets.

            When I encode the leave it doesn’t appear on the day the leave should appear. For example, all entries on March 1 is not visible but the rest date in March is good and visible. Hope you can extend your help.

      2. Compensating public holiday with a comp off is not part of this template.
      3. You can add Employee id in place of employee name.

      Please add columns to Employees sheet. Then sort that table using Excel’s built-in sorting feature. Then, the Dashboard will reflect the order in the Employees sheet.

  • Thanks for taking the time to do this and making it public. It has saved me a great deal of time and is more comprehensive than I could have made it alone.

    I am wondering about the situation where an employee works on a weekend day. Some of our team have to work overtime days on Saturdays or Sundays, but they would still be considered weekends in terms of regular work days/holidays/etc.

    Is there a way to override a weekend day in this scenario?

    this is a fab piece of work, well done, it is very handy. I am fine with all the formulas and formatting just dont get the relation between week days in “H” tab & setting (check boxes). how did you do that, a bit of explanation would be much appreciated as I couldn’t see any link between cells in each tab.

    • Thank you. Please right click on the check box. You will see that it is connected to the cell in the hidden H sheet. So, when we check the box, it registers a TRUE in the H sheet B column. If we uncheck, it passes FALSE. I then convert it to 1 and 0 for easier calculations.

    If any one took half day of sick leave then in that case what all changes in formula need to be done so that half day of sick will reflect in sick leave section rather than full day.

  • Amazing Leave Tracker. Loving it. I was able add additional Leaves as per my organization’s requirement.I have a unique requirement to add the Managers Name against the Employees and a drop down to be created for the Managers in the “Team Dashboard” like month drop down which is currently existing. Please let me know whether that is possible.

    • Thank you. I am sure that it should be possible. We would create a drop down following the method used for the Month. Then in column B, we would edit the formulas to only list employees under that selected manager. Then, everything else should work as it is.

  • Your template is awesome. You are very gifted! Is there a way I can combine the Employee Report and the Dashboard? I have about 100 employees and I need to have yearly totals without having go to each team member one by one. Is there a way I can add in the year to date sum totals. I am using this template for tracking attendance points. I would like to have a running total on the dashboard. It would be great if I could change the dashboard to view more than once specific month. Any suggestions?

      Yes, technically it can be done. It’s hard to explain step by step here. You can take the Dashboard and extend to 12 months instead of 1 month. You can see the formulas used and copy/extend to 12 months.

  • The template is great but I have adapted it to suit my business needs. Instead of ‘leave types’ I am assigning these values to projects/job sites that my employees are working on. With that being said I would like to have more than 5 available ‘leave types’ or in my case ‘projects’ that I can assign their time to.

    How can I manipulate the 5 row table to include more rows with more colors that will be reflected on the dashboard?

    Your work is the best i have seen. I want your help on calculating the sick days. In my country the sick days are counting as calendar days no matter if we have WKN or holidays days in the middle. In the template the sick days calculating different. the programma don’t calculate as sick days the weekend or holidays. Which i want too. How can i change it ?

      This will require changing the order in the formula used. In the formula, if it is a holiday and sick day, it is counted as holiday instead of sick day. We have to change that order. You can unlock the sheet with password indzara and make modifications.

  • Hi Indzara, Firslty I would say that this is an awesome tracker I have ever seen. This is really an amazing work you have done. I am really thankful to you for this leave tracker sir.

    I work in a team where every team member has different week offs. For example Employee 1 has Sat&Sunday as the week off and Employee 2 has Tuesday & Wednesday as there week offs and Employee 3 has Thursday&Friday as the week off.

    In this tracker can we make the changes so that the week offs can vary for different employees. It will really be very helpful if there is a possibility to make these changes.

    • In the Leave sheet, you can enter the leave dates. If an employee takes consecutive days off, then you can enter that in one row (start to end date). If an employee takes days off, that are days apart, then enter in separate rows.
      For example,
      First row: Employee1 start date (Jan 1) End Date (Jan 5)
      Second row: Employee1 start date (Jan 10) End Date (Jan 10)

  • If I want to add one or two pieces of information of the employee alongside his start date and termination date, say his staff number in the employee sheet, and bring them up to the employee attendance report the way the employee start date is done, how do I do it?

    • You can create a new calculation and follow the approach I have used for the Employee start date. You can replace the reference to the Employee Start date with another field that you are pulling from Employees table.

    • J7 represents the date.
      If the date is blank, then NA
      If the date is > employee’s termination date, then NE (not employed)
      If the date is a holiday, then H
      If the date is a weekend day then WKND
      else display the leave type taken by employee on the date.

  • Like to echo all the compliments for an excellent design. Found this most useful. Just wondering how to amend this template for a 5 and a half day workweek. Sunday is not a workday, but Saturday is half a working day here. Vacation leave for Thursday to Monday say is therefore counted as 3.5 days and not 4 days as in the current template. Whilst a half day leave type could be interposed, this is not as elegant. Also, the day-count towards the specific leave type taken would have to be manually adjusted. If the template can be amended so Saturday would automatically be counted as half a day, that would be perfect. Thank you.

    • Hello, I am new to exel so my problem probably just relates to that. I have entered in the employee names and dates and entered in the leave time taken however it doesn’t show on the dashboard nor the spreadsheet. Any ideas what I have done wrong?

    • Thanks for the feedback.

      Enabling support for two specific Saturdays each month would require significant modification.
      You can enter those non-working Saturdays as holidays in Holidays table. This would take care of leave calculations and summary. The only downside is that those days will be shown as Holidays and not Weekends.

I want to change the source to track attendance for employees by adding 2 new sheet in this excel file. the first one data for vacation with manager approval and second sheet for absent without manager’s approval. can u please help me with the formula ?     Forgot to write it is of course in the sheet called “EMPLOYEE REPORT” I need another cycle. since our cycle is May-April I would need 2 years, in this case May 2017-April 2018.

    • I have explained in the previous response how to change the months.
      The sheet takes year as Input and shows the results. Extending to multiple years would require some further modification which would become difficult to explain in text.

    Thanks a lot for this great template. I have a question, I am from Denmark so we have another cycle May-April. Is it possible to change easily so the cycle is not Januay-December but instead May-April.

    • You are very welcome.
      Changing the cycle requires a few steps.
      1. Unprotect the sheet
      3. In column B, where month names are, we have to edit the formulas. You can just type May 1, 2016 in cell B12, June 1, 2016 in cell B13 and so on.
      3. In column A, you will see numbers 1 to 12. Replaces them with 5 to 4.
      4. Protect the sheet again.

    Thanks for the great template. Very usefull and handy.
    I’m wondering about one thing; is it possible to work with departments?
    I’ve added an extra column in the employees tab. In the settings tab i made it possible to define these departments. In team dashboard, i added an extra column next to my employees so i can filter. But i also would like to be able to use this like you do with employees in the employee report. There you can select an employee. I want to also be able (in a different sheet) to filter on departement and get the year overview and calculations for every member in this department.

      It is not designed to easily capture hours. We can tweak a few things to this template. When we define leave types, we can enter leave types for partial days. Assuming each day is 8 hours, create a leave type for 2 hours off (0.25 day) and 4 hours off (0.5 day). Then, in the Dashboard, we can edit the Total Leave column where we multiply the result by 8 to convert days to Hours.

    • Please do the following to add more leave types.

      1. Just type sixth leave type in SETTINGS sheet’s Leave type table.

      2. In the TEAM DASHBOARD sheet,
      a. Edit conditional formatting rules. You will see rules for the 5 colors.We need to create a similar rule. The formula for the sixth color is =C8=INDEX(L_LEAVE,6).
      Apply this to all the cells in the calendar.
      b. Insert a column between columns AM and AN. This new column is to calculate the sum for sixth leave type for each employee.
      c. In that new column, we need to enter formula. You can copy formula from cell AM8 and paste in AN8(newly created column). Then drag down the cell to row 37 to copy the formula for all employees.
      d. In the Total Leave column, edit the formula to sum all the 6 leave types (by default it was for 5 leave types).

      3. In the EMPLOYEE REPORT sheet,
      a. Edit conditional formatting rules. You will see rules for the 5 colors.We need to create a similar rule for the sixth color. Apply this to all the cells in the calendar.

      The days are represented from column C to column AG.
      For calculating number of staff on vacation every day, please write a formula using COUNTIF function.
      For example, count the number of appearances of ‘Vacation’ in column C from cell C8 to cell C37. Then, you can drag this formula to column AG.

  • Hi first of all thats is an amazing work
    but i have a question dose anyone knows how to make a graf out of all the employees. for example in January 10 called sick feb. 3 called sick ect. and if so can it also be done on a weekly basis.

      You can write a formula using Countif function in the Team_Dashboard sheet. In row 38 or below, you can write that as each column represents a date. For example, if a leave type is ‘Sick’, to count Sick days count occurrences of ‘Sick’ in that column.
      Weekly would require some more logic in formula and would be hard to explain in text in this comments.

  • By the way, when I mentioned “Added” which mean I inserted the Microsoft Date and Time Picker control onto “Leave” worksheet and link it’s properties to the leave date cells ( Start Date and End Date ).

    It populated those two cells with the dates that I selected from the control that I just added but it did not reflect into the “Team Dashboard” as well as “Employee Report.”.

    • I have not worked with the date picker. Since we need to enter dates in many cells, it might be an overload and slow the file, if we create so many date pickers. Sorry.

    It would be great if you could add Calendar control or Date Picker to fill in dates for “Enter Leave Data”.
    So that we can simply click and choose the start date and end date for the leave type.

    I have added the Calendar control but somehow it did not work.

  • The template is great, thx. However, when i input year 2017 in Sheet “Employee Report”, i directly get NA for all fields.

    • The template uses an End Date (set to Today) logic for the Employee report. This is to ensure that the report, by default, shows only employee attendance/vacation as of today. If you enter 2017 in Year, but End Date is set to ‘Today’ (Today is Dec 5, 2016). The 2017 calendar year is after the End Date and thus ‘Not Applicable’ (NA). Please change the End Date or the Year. It should work then.

  • The template is very usefull. I would only wish for one improvement. Since I have a global Team the Holidays are quite different for several Team members. So it would be great if I could assign certain Holidays to certain employees. Is there any possibility for that?
