How to track personal finances in Excel?

The template has 3 worksheets: 1) Settings 2) Transactions and 3) Report.

STEP 1: Enter information in Settings worksheet

  • Enter Accounts (bank accounts, Credit Card Accounts and Cash Accounts)
  • Set your starting balances of accounts

  • Create categories & Subcategories (trust me, this helps)
  • Set your monthly budgets

STEP 2: Entering transactions in the Transactions worksheet

When you open the template, there will be no records in the Transactions worksheet (as shown in the image below). Start entering your own transactions.

Enter Financial Transactions
Enter Financial Transactions

3 Types of Transactions

  • Income and Expense: By default, all the Income and Expense transactions should be entered as positive amounts.
    • Special case (Refund): If you purchased an item at a store, you would enter an Expense transaction with positive amount. If, a few days later, you returned the item to the store for some reason and get a refund, then you should enter the refund as a new Expense transaction with negative value.
  • Transfer: When money is transferred from one account to another, create two records
    • ‘Transfer’ type with negative amount from the account you are taking the money from.
    • ‘Transfer’ type with positive amount for the account you are depositing the money into.
    • Examples of Transfers are Credit Card Payment (transfer from Bank account to Credit Card account) and ATM withdrawal (transfer from Bank account to Cash)
  • Drop down menus are available for easy data entry in these fields (Type, Category, SubCategory, Account).

After you enter your transactions, the Transactions worksheet would look like this image below.

STEP 3: View Report

Since there are pivot tables and charts, please refresh the data by going to Data ribbon and refresh all (or keyboard shortcut Ctrl+Alt+F5) . This updates the charts with your new transactions.

  • hello, thanks for this efficient template.
how to account for fixed expense for savings?
where to add them if doing withdrawal from them?

    Reply
    • Thank you for your kind words about the template — glad it’s been helpful!

To account for a fixed deposit (or similar fixed expense savings account), here’s how to handle it:

      Setting it up:
Add the fixed deposit as a separate bank account in the template.

      Recording interest earned:
Enter the interest received as an income transaction linked to that account.

      On maturity or withdrawal:
When the fixed deposit is closed or you make a withdrawal, record it as a funds transfer from the fixed deposit account to your regular bank account.
This approach ensures your savings and transactions are tracked accurately without affecting your regular expense flow.

Please let us know if you need any further assistance!

  • Hi,
First let me say that I really love this template since it is based in Excel. I would like to know how I can have 1 category with multiple sub categories? For example I spend $100 at one store and from that $100, I spend $40 for groceries and $60 for clothing. Is there a way to break that $100 accordingly? Thank you very much

    Reply
    • Thank you for using our template and for sharing your valuable feedback.

At present, the amount needs to be entered as **two separate entries** with the same main category (store name) and different sub-categories (for example, *Groceries* and *Clothing*). Automated splitting of a single transaction amount across multiple sub-categories is not supported in the current version of the template.

However, if the Report tab itself is not visible, it is possible that the sheet may have been accidentally modified or deleted. In that case, we recommend moving your input data into a fresh copy of the template to restore full functionality and display of the report.

  • Hello, I just started using this template and I see is very complete, but I would like to add another pivot table in the report slide that presents me the actual budget for each category, and if I did not use all the budget for each category in the ” month 1″ adds that amount to the initial budget of each category of the “month 2”

Category Initial budget (same for each month) Expense Month 1 Initial budget Month 2
    Food $100 $50 ( $100 + $50 of the first month)
    Car $350 $250 ( $350 + $100 of the first month

Is there any possibility of doing that ? and How?

Yes, it is possible. Formulas in the hidden Monthly_Summary_Table needs to be modified. For example, we used EOMONTH function to get the last date of the month, you will need to add 25 in it.

  • I just wanted to say thank you for this brilliant and helpful template. It has become so handy for me as I use it everyday. I wanted to know if there is a way to have automatic reminders for daily/weekly/monthly deposits/bill payments so that there is less potential for these type of things to be missed when entering it manually. For example, how can I have a popup or some sort of notification every month that I have a phone bill for company XYZ due on the 15th of the month for $100?

    • Thank you for using our template and sharing your valuable feedback.

The requested feature to pop up a remainder on certain dates is possible using Macro but we do not use macro in 99% of our template to ensure it is simple enough for our customers to go through the template modify it as per their requirement.

You can use our Event Calendar template to schedule your bill payments and it will show the same on the calendar. Following is the link to the template for quick reference:

I recently downloaded this excel, but I have a problem with the “Transactions sheet”. For some reason, after I completed some of the lines with a few transactions and every seemed to be ok so far, I continued with a few more, and suddenly the cells which automatically filled with the month, stopped and changed to “MMM”. As a result, I cannot have the reports as supposed to be… I tried to erase the dates and fill in them again from the start, but it didn’t work out.. Can you please help me?

I loved your work. However I have few doubts and addition request if possible to this template as given below.
    1) If we have borrowed money which is our debt as loans or specifically borrowed from close friends where to account that as we would be closing on monthly or yearly etc.
    2) Is it possible to see our total income, expense and saving per month in one graphically represented chart.

Thank you again for sharing this with us.
    Accept my Gratitude.

      1. If it is a long term loan it can be added as a credit card balance and if it is one time, take it as a expense.
      2. Adding all income and excel in one chart will make the chart clumsy.

You have done good work thinking all these over and helping people who find difficult to manage the finance . It would be very helpful if you can think of Adding the SIP fund tracker , Shares Tracker to see the asset live updated in this . It would be good if you think of adding LIC & Other saving stuff all together.

It will be much better if you can think to make it a app because Most of the time the spendings happen on the go and we might miss or forget to enter it in excel later as the excel in mobile is tedious to enter these data.

If you are referring to credit card payment, it should be considered as a transfer transaction and hence not part of expenses. As we are entering each expense transaction already we should not enter the credit payment again as an expense.

  • I’ve noticed that there’s a named range in the template called ALL_ACCTS. This range refers to the following formula:
    =OFFSET(Monthly_Summary_Table!$W$4,0,0,Monthly_Summary_Table!$X$2,1)

Screen shot can be seen here:

But I can’t find the Monthly_Summary_Table range. Where is it, and what does it refer to?

    Reply
  • In the Transactions sheet, under the ACCOUNT column is a drop-down list, where I can select different types of accounts, from bank account, to credit card account, to cash account. It references a name ALLACCTS. How did you do that? Is it a table or a named range? I want to add another type of account, namely online account to this ALLACCTS , but I can’t figure out how to do that.

    Reply
    • Thanks for using the template. ALLACCTS is a named range which uses a formula with OFFSET function. It will just create a list of accounts pointing to a hidden sheet. In the hidden sheet I combine the different types of accounts into one list.

I wanted to learn about an issue.
There are transactions and personal lives where we borrow or lend money from friends and family. Can you suggest how we can make an entry for these transactions? Is it possible to create an account for a particular friend, say, Mr. XYZ and adjust the borrowing and lending from and to that friend accordingly so that at a particular point of time it shows the current financial status?

    Reply
      • Sorry for the delayed response.
Yes, you are correct. If you need to track specific friend, then a separate account is needed for each friend. If you want to only track total of all friends, then one account for all friends would be fine.
Please let us know if any questions.

I have not had any issues with the file. I am using Excel 2016 for Windows.

  • Hello,
Your Personal finance manager excel sheet is amazing! Will you be releasing a new version with pivot tables and slicers for excel 2011 for Mac soon?

Also, how does one log 2 types of currencies, pertaining to 2 different bank accounts in different countries?

    Thanks

    Reply
    • Thanks for the feedback. Glad to hear.
If you are using Excel 2016 for Mac, you can try the Personal Finance Manager file (windows). I believe the pivot tables and slicers may be supported (but not all the pivot charts, may be). But it does not work in earlier versions of Excel for Mac.
There is currently no built-in support for 2 currencies. We have to convert them to one currency and enter. Or we have to maintain them in 2 separate accounts which do not transact between each other.
      Best wishes.

    • It depends on what words are going to be changed. If they are used in the formulas, we need to change them in the formulas too. Sorry that I can’t give a definitive answer without knowing what words are to be changed.

  • Hello,

Thanks for the awesome tool. I have been using this since last year replacing a complex tool. This has been awesome but I found out this month that 2017 is not showing up in the report pivot table (Monthly financial analysis-Year). It only has 2016 in display now where as I have filled transaction for whole of January. Only when I delete all the 2016 transactions, 2017 appears.

    Please help.

If you are referring to the filter at the top left, it should automatically show new years. I will email you about this. If you can reply with the file or screenshots, I can take a look to see why this happens.

    • Lending can be one expense transaction. Then, when it is returned, it is an income transaction. If there are 3 installments, they will be 3 income transactions.

  • Love this template. As suggested before, it would be great to have a more flexible budget. For example where I live the water company payments come every two months, so some months I expend less than the budget and the next one more.

Also it could be great to have different budgets for different periods.

    • Thank you for the feedback.
I completely agree that having varying budget across months would be useful. It brings along potential restrictions, but I will look into ways to address them.

  • Further to my above suggestion, I would like to add that under REPORTING, we should also have an option to select the period for YEARLY PIE-CHARTS (like JULY 2014 – JUNE 2015 OR JAN 2014-DEC 2014). This will also help for people to calculate their expenses/income for Income-tax purposes as well.

  • Hi .. I have observed that though the design of this template is excellent, needs some improvement.

SETTING : (1) While setting Expense Categories (EC), it should also allow to set sub-categories for that EC. This in turn should help recording transactions. (2) It should also allows us to set Monthly Budget for each sub-category, which in turn SUMS-UP for Expense Category as Monthly Budget.

TRANSACTIONS : While recording expense transactions, when we select an Expense Categories (EC), the corresponding sub-categories (set for that EC) only should appear and not all (as is the case now) which will facilitate correctly recording the expenses.

REPORTING : There should also be another page having 2-PIE CHARTs reflecting (1) Yearly INCOME – Category-wise; (2) Yearly EXPENSES – Category-wise; (3) and List of Income and Expense Categories with Amount below the Charts (like in monthly analysis)

With these improvements, your this EXCEL TEMPLATE will be more attractive and useful.

  • Hello, Dear!

What if I have different currencies? I am traveling a lot and live in different places. What if I have more than 5 types of currencies? Sometimes I might live 2 months in a country and then move to another, then 2 weeks in this country and then come back again after 6 months. How can know my income, expenses and transfers in different currencies?

Thanks a lot for this amazing template!!

    Reply
    • Thanks. I am sorry. The template doesn’t support multiple currencies and exchange rate conversions automatically. We would have to make the currency conversion by formula and then type in the converted value in the Transactions sheet.

    Below are my few concerns:
    1. The records for Transfers to ATM CASH Withdrawal – Can the withdrawl amount be added to CASH account ? suppose if I withdraw some CASH amount and spend it on Expenses. Under what category it will be recorded ?

    2. I also wanted to maintain the amount deducted from my acount for Investment purpose. Like monthly 10k to SIP account. how do I manage this in your sheet ?

    • You are welcome.

      1. Yes, transfer transaction can be made from a bank account to the ‘cash’ account. Then, when you spend that amount on expenses, it will be an expense transaction.
      2. can you have that as another bank account and transfer money? Any interest income should be added manually as an income transaction on that investment account.

    • The template is currency agnostic now. You can format the cells with any currency format as needed. You can have both accounts (euros, UK) in the file as long as they don’t have to be converted. I’ve been trying to program this function (running balance for each account after each transaction) into your finance manager but I haven’t been able to do it correctly. There is a lot of criteria and ranges I am not sure what to input. Could you program this for me and I’ll send you a paypal donation? I already spent a lot of hours trying to do it without success.
I am using this manager for my business so I really need the running balance on the last column of the transactions sheet. If you could program this correctly I will be willing to send you a fair amount for your time and knowledge. I am sure this feature will be very useful to all your customers as well. Please let me know if you agree, here is my email for any further questions, max.azcona@gmail.com. Thank you very much for your awesome excel template Indzara, hope to hear from you soon!

    • You are very welcome. I am glad to help. Please try this formula in a new column created in the TRANSACTIONS table.
=SUMIFS([Amount],[Date],”<="&[@Date],[Account],[@Account],[Type],"Income")+SUMIFS([Amount],[Date],"<="&[@Date],[Account],[@Account],[Type],"Transfers")-SUMIFS([Amount],[Date],"<="&[@Date],[Account],[@Account],[Type],"Expense") Basically this will add up (Income + Transfers - Expense) as of the current transaction date for that specific account. Please let me know if there are any questions. Best wishes.

I really need to see the balance on certain days after certain transactions and the report section only shows the net balance. I would really appreciate if you could help us out with this, thank you very much!
    Have a great day!

    Reply
    • You are welcome. I have not had the time to build this. But this would be my suggestion: we need a formula with SUMIFS function. Sum all transactions with INCOME type + Sum all transactions with TRANSFER type – Sum all transactions with EXPENSE type where Account = ‘the account in the current row’ and transaction Date <= 'date in current row' This should give the balance for that account as of that transaction date. For help with SumIF function, please see my video https://youtu.be/jM1AuYmFdAc. Please let me know if this doesn’t help. Thanks & Best wishes.

  • Hello, I just have another quick question. What do you do when your budget is different almost every month? Is there a way to set up my budget to account for planning for things that don’t happen every month? For instance, I’m getting ready to move, so my rent will be different next month than it is this month, plus I have been setting aside money for my wedding, but after next month I won’t need to do that anymore (because the wedding is next month). Just wondering if this was possible.

  • Hello,
Thank you for this powerful tool. It is exactly what I was looking for. I just have a logistical question. If I am taking money out of my checking account and plan on spending that money and not recording what I’m spending it on, wouldn’t that be considered an expense instead of a transfer? I guess I am unclear why an ATM withdrawal is considered a transfer.

    Reply
    • Thank you. I am glad you like the template.

You are absolutely correct. If you do not plan to track the cash withdrawn, then it is an expense immediately. If you plan to track the cash, then it would be a transfer and every time the cash is used to spend, then it would be recorded as expense.

      Best wishes.

All the reports and results, budget etc could be expressed in only one base currency, but the exchange rate should be updated periodically.
Is there a way to add this multi-currency functionality?
    Thank you very much again.

    Reply
    • I believe it is possible to add multiple currencies, but it would require some formulas. Automatically getting the exchange rates is a different topic though and I have not attempted to do so yet. Definitely interesting additions to think about. Please feel free to edit the template if you plan to, and let me know. Thank you.

  • I find your template planning quite useful for making up my capital account for filing IT returns. If two more types asset and libilities are added then it becomes a complete accounting package. I am sure you must have thought about it but
probability some difficulties are there. I am just trying to learn spreadsheet software.

But I am not able to save categories and subcategoriesevend though the setting pages show them but when I go to input
transactions those don’t appear. Instead categoreis shows error 508, subcategories shows err 509, subcategores shows all, top10, standard filters as selection account shows err 502, comments also shows all, top10, standard filters.

Is there any button to save the settings before entering transactions?

Your reply will be greatly appreciated.

  • Hi,

I don’t know if this was discussed in the prior threads. I indicated our monthly budget on the settings tab and it worked out just fine. But then, there were some items that required cutting back. If i trimmed the budget down on the settings tab, the prior months would get affected and it will looked over budget. Any remedies to this problem? Thanks!

    • You are correct. Currently there is only one budget that you can set in the template. I need to think of a way to accommodate varying budgets. I have added this to the list of potential enhancements. Thank you.

May I ask if you have the excel templates for managing inventory and sales for manufacturers where the raw material are the input and the out put are semi-finished products and finished products. If so, may I learn the details of that spreadsheet? Besides, may I order an spreadsheet with our requirement? Please respond me when convenient. Thank you in advance for your response.

  • Hello,
First of all, I’m happy I came across this template. Only have one issue, It appears that I’m not able to filter out the months accordingly on the “expense by sub categories” where the 2 pie graphs shows your income and expenses. Will this automatically adjust? I entered in all of my Feb transactions, and just entered a few for today (March 1st) and has not filtered out Feb/March yet. It shows trans only by specifics dates. Any suggestions?

    Reply
  • Hi indzara. The monthly report series in the report tab where is shows income/expense/savings/budget at the top is showing categories for every day that transactions are entered, rather than grouping into month. How do I show data per month instead of date of transaction?

    Reply
    • This usually happens if we refresh the data (DATA RIBBON – Refresh All) before entering any transactions.

Please follow the below and let me know if issue continues.

Please download a fresh copy of the template.
      Enter some of your transactions
      Only then, refresh.

    • The report sheet pulls the data automatically from the Transactions sheet. Whatever dates are entered there should come through. Please make sure that you are refreshing the data from the Data Ribbon – Refresh All. This would update the Report sheet. Please let me know if this doesn’t address your question.

    • Thanks for the kind words. I am glad that the template is useful.

Where does the money being saved come from? I am assuming the source of that money is already included in income.

If you are taking CASH (let’s say 100) from bank account, then you first would enter a transfer transaction from bank account to CASH. And then, when you use CASH money (let’s say 40) to buy something, then you enter an expense transaction from CASH. Then, the report would show current balance in CASH is 60.

      Hope this helps.

    • Please try having an Account called ‘GOLD’. If you buy gold using money from your savings account, then you enter it as a TRANSFER transaction from Savings account to Gold account. In this way, Gold account will have the amount.

  • Hi Ind,

Thanks for the template. Looks great, but I’m a bit confused with transfer transactions specifically on Credit Card. You stated to enter 2 records for this type of transaction, however any Credit Card balance is caused by the expense you made using the card and this transaction is already captured as part of expense record. Why do you think isn’t needed to record Credit Card transactions this way?

    Thanks,
    Manish

    Reply
    • Hello Manish,
      Thanks.
You enter credit card expense transactions as just expense transaction (one per expense). However, your credit card payments (you pay the credit card company monthly by transferring from your bank accounts typically) are transfer transactions and they should be entered twice (one for your credit card account and other for the bank account where you take the money from). I hope that clarifies.

Subcategories are easier to add. Insert more rows below row 37. Change (expand) the Named range (Subcategories) in the Name manager in the Formulas ribbon. That should do it.
Categories are not so straight forward, since I use them in the reports and you need to make some modifications to that worksheet as well.

  • Hi ind zara,

This is EXACTLY what I have been trying to create for myself for about a year now… I have tried multiple formats and multiple templates and this is by far the most comprehensive and useful of any I’ve been able to find or create myself. I had a little trouble figuring out how to delete your dummy categories from the reports section in the beginning, but finally got it. My only suggestion for improvement might be to incorporate a debt section. In my case, I don’t have credit cards, but I do have debts such as student loans as well as owing my mom money. Maybe it is possible for you to create a section for those issues.

Thank you for providing such a great template for anyone to download!

    • Thank you for the compliments. Comments like yours give me the motivation to continue to share. Thank you.

I will consider incorporating debts in my next version. If it’s you owing some money to your mom (or any such scenarios), can you try using a dummy credit card name and entering that amount as balance. Because I am not calculating any interests automatically in the template, you can include such balances in the template like a credit card balance. I may be missing something. Please correct me if I am misunderstanding.

      Reply
    • That’s actually what I’m doing for now. Using the credit card section for general debt is working well and I have been able to estimate when I’ll have me debts payed off by using your template. Great motivation to keep saving. Thanks!

    • When the transactions table in the ‘Transactions’ sheet is emptied (deleted all data) and then the sheet is refreshed, this can happen. Month and Year slicers you see are dependent on the Date field. If date field is empty, Excel doesn’t remember that it needs to create Year (and so it removes the slicer completely) and Month (Month becomes dates). I see that in your screenshots, this is exactly what has happened.

Please download the template again. After downloading the template, it is recommended that you enter some of your transactions (especially the date field) and only then do refresh. That would keep everything functioning correctly.

I have created a version that works in Excel 2010 for me. I had to modify page 3 (‘Trends of expenses, savings and net balance’)in the report by removing the slicers and having the charts update dynamically by another method. There is a slight loss in functionality (you can’t filter for specific years/months in page 3), but it is not a huge deal. None of the other pages or charts have been changed.

Please provide your feedback whether everything works as expected for you in Excel 2010.

    • Hello Carlos,

I tested https://indzara.com/uploads/indzara_Personal_Finance_Manager.xlsx in Excel 2010 today. I am noticing that the ‘Monthly summary’ page in the report works fine. However, the 3rd page ‘Trends of expenses, savings and net balance’ in the report does not work as designed. The table slicers I used for this page works only with Excel 2013. I need to change the design to make it work with Excel 2010. I will post an update as soon as I can, since I would like this template to be useful to as many as possible. Thanks for bringing this to my attention.

And a general tip: Before you hit Data-Refresh, make sure that there is data in the table in the transactions worksheet. If there is no data, the slicer for Year disappears (as Paul Gernale pointed out).

    • Hello Paul Gernale,
Thanks for pointing out this bug. I will look for a better solution to this.
For now, please try using the Sample data file and delete all transactions but any one record. That leaves the Year and Month filters/slicers in place. Then, you can overwrite that one record with your own transaction data and continue entering more records as usual. Please reply if this resolves this problem.

      • Hi indzara,
I wanna thank you so much for this very very awesome program that you just made, i have been searching for a long time for a great program like this atlast i found it, it is very useful, easy to use and almost everything that i need is here.

I just want to ask a permission by using your program, i would like to add some VBA codes for easy data entry and to refresh it automatically because most of the time i forget to refresh everytime i input something.

        Thanks again and more power

    • Hello Paul Gernale,
I have updated the template and this blog post. Please read the section “Step 2: Entering transactions in the Transactions worksheet” above. Now, when you download the template, start entering your transactions by replacing dummy data in the first row with your own data. That should allow all the filters and slicers in the ‘Report’ worksheet function without any issue. Please take a look and let me know if you still have any problems with the template.

I appreciate your feedback. Thank you.
